Bookkeeper and Administrative Coordinator

Position Summary

The Bookkeeper and Administrative Coordinator will oversee the day-to-day bookkeeping responsibilities and CRM management. S/he will help provide financial leadership and management in partnership with BTCM’s Executive Director. To be successful, this person must be relationally driven, detail oriented, and a self-starter who deeply resonates with our mission.

Reports to: US Executive Director

Category:  Part-time (15hr/week), non-exempt

Location: Remote (preferably Tulsa, OK based)

  • Work with US & Ugandan staff to create and monitor BTCM’s annual budget.
  • Partner with the Executive Director to analyze and forecast
  • Provide recommendations to improve financial stewardship, systems, and processes.


  • Enter monthly income/expenses into QuickBooks and reconcile bank statements.
  • Create monthly financial reports via ShareFile, and custom reports as needed for staff.
  • Pay all incoming invoices and check requests.
  • Issue wires as needed and enter wire details into QuickBooks.
  • Coordinate payroll, timesheets, & staff reimbursements.
  • Track restricted accounts and grants as needed.
  • Coordinate IRS Form 990 & 1099’s with accounting firm.
  • Prepare annual state charitable solicitation forms.


  • Record all contributions into CRM and export donations into QuickBooks.
  • Manage ongoing CRM needs: update donor profiles, create custom reports,
    ensure integration of supporter activity in profiles (events, teams, donations).
  • Answer donation related questions and help donors update credit card information.
  • Coordinate distribution of annual tax statements to supporters.


  • Invest in personal spiritual formation that cultivates a vibrant spiritual life including time for solitude, retreat, reflection, prayer and a commitment to understanding God’s Word.
  • Invest in the discipleship & spiritual formation of BTCM’s children and staff.


Above all things, you must have a personal relationship with Jesus, value the people over projects, and are able to constantly lead others to higher standards of care and intimacy with Christ.

  • Technologically savvy with experience using CRM and Quickbooks online.
  • Experience in bookkeeping and accounting.
  • A bachelor’s degree in a relevant field is preferred
  • International experience and cross-cultural experience preferred
  • Reliable internet and computer.
